How to Add Contacts in STRATAFOLIO

We have one location for all contacts in STRATAFOLIO, which means no more looking for information for your Tenants in many different places. This allows easy access for the Administrator down to the Maintenance person to be able to contact your tenants when needed. Here’s how to add these contacts to our software.

Adding Multiple Contacts

To add multiple contacts at once, follow the steps below:

  • Go to the navigation bar on the left-hand side and click Organizations. Select the Contacts tab, then select Download Template.
Click on the Organizations tab from the left-side navigation and go to the Contacts tab to download the template for adding multiple contacts
  • Download the template and afterwards follow the instructions on the attached template Excel sheet.

Fill in the template before uploading multiple contacts
  • When you have added all of the required fields to the template, you will need to save the file to your computer. Then return to the Contacts tab on the Organization Page in STRATAFOLIO and click Import Contacts.
Click on the Import Contacts button to upload multiple contacts
  • Select the File from your computer.
Select the accomplished Contacts template file
  • Then click Upload File.
Click the Upload File button to successfully upload multiple contacts
  • On this page, you will see three categories:
    • Valid Records: Contacts will be imported as entered. 
    • Records with Warnings: Contacts will be imported, but invalid data will be omitted.
    • Record with Errors: Contacts containing an error will not be imported. 
There will be indicators whether your records are valid and can be uploaded to Contacts
  • Be sure to review the data before importing any contacts in STRATAFOLIO. Once reviewed, click Import Records.

Adding a Single Contact

You can add a contact in STRATAFOLIO from the Organizations section.
This keeps all contacts stored in one central location and linked appropriately across your portfolio.

To add a single contact, follow these steps:

  • In the left-hand navigation menu, click Organizations.
  • Click the i icon beside the organization where you want to add the contact to open the detailed view.
  • Select the Contacts tab.

  • Click the Add a Contact button to open the contact form.

  • Fill out the required fields (marked with a red asterisk *) — the First Name and Last Name are mandatory.

You may include additional details such as:

  • Email and phone numbers
  • Contact role/title
  • Business name and address
  • Contact rights and notes

Once you’ve entered all the information, click Add Contact to save the record.

💡 Tip: After saving, you can link the new contact to a Tenant, Investor, or other records throughout STRATAFOLIO.
