Moving from QuickBooks Desktop to QuickBooks Online is a significant step for your accounting workflow, and STRATAFOLIO fully supports the transition. The platform integrates well with both products, so the decision to move is about your accounting needs rather than the STRATAFOLIO integration itself. Once you make the move, STRATAFOLIO continues to track your invoicing, payments, loans, and reporting without interruption, as long as your new QuickBooks Online integration is mapped correctly.

The heart of a successful migration is mapping. Every lease and account that pointed to your QuickBooks Desktop integration must be updated to point to your new QuickBooks Online integration. When mapping is complete and accurate, your invoices post to the right accounts, your loan balances update automatically, and your reports stay consistent with the history you built in QuickBooks Desktop.

Understanding Your Migration Scenario

Your migration path depends on how your QuickBooks Online file was set up. There are two common scenarios.

Scenario A: All data transferred to QuickBooks Online. Your entire QuickBooks Desktop history was converted into the new Online file, so both files contain the same transactions. To prevent duplicate transactions in STRATAFOLIO, the Desktop integration must be deleted and purged from the database by STRATAFOLIO engineers.

Scenario B: QuickBooks Online started on a specific date. Your Online file begins on a set date, and your Desktop file holds the history before that date. Because no transactions are duplicated between the two files, you simply disconnect the Desktop file. No purge is needed, and your historical information stays intact.

In both scenarios, the mapping updates are the same. The only difference is what happens to your old Desktop integration.

How Syncing Changes with QuickBooks Online

The daily rhythm of your work changes for the better after the move. QuickBooks Desktop requires the STRATAFOLIO Sync application to run regularly to transfer data between systems. QuickBooks Online connects through the cloud, so there is no sync application to install or run. Your data synchronizes automatically, eliminating the daily manual sync entirely.

Consolidating Multiple Companies

Some owners use a separate QuickBooks Desktop company file for each building and consider moving to a single QuickBooks Online company that uses Classes to represent each building. This is a major change to your accounting structure, so discuss it with your CPA or tax advisor before proceeding. Clients who use this approach successfully share the same ownership structure across all of the buildings involved. If you are onboarding additional buildings, pause further onboarding until the migration is complete, since the change requires extra mapping. Connect QuickBooks Online to Your Entity

Integrate your new QuickBooks Online file with the appropriate Entity in STRATAFOLIO.

NOTE: If you use ACH through STRATAFOLIO, it is wise to wait until mid month to begin your transition. This avoids interfering with payments that are already being posted.

Map the Integration

Map the Accounts in your new Online integration to match your QuickBooks Desktop account mapping. Then map the applicable Classes, Locations, Loans, Interest, and Hierarchy, using your Desktop file as your guide. Keeping the mapping consistent between the two files keeps your reporting consistent too.

Request Removal of Your Desktop File (Scenario A Only)

Contact STRATAFOLIO Support using the AI ticket, found through the Need Help button, to request removal and purging of your QuickBooks Desktop file.

Provide the following for each Integration you want removed:

  • The name of the Desktop Integration you want removed completely
  • The number associated with the Desktop Integration, found in the first column of the Integration Table

Engineering removes the integration and purges its data after hours, so allow a few days for completion.

TIP: If you have multiple Entities or Integrations to remove, submit them all at once. Engineers can complete the work once and invoice you once, instead of handling each removal separately.

If your situation matches Scenario B, skip this step. Simply disconnect your Desktop file. You still complete every mapping step in this guide.

Map Your Leases

Update the mapping on every Lease that was attached to your Desktop integration so it points to your new Online integration. This includes the Accounting Customers, Classifications if applicable, and Income Items, including Lease Rates and OpEx. Invoices cannot post correctly until this step is complete.

Checklist for Migrating from QuickBooks Desktop to QuickBooks Online

Before You Begin the Migration

  • Identify which scenario applies: full data transfer (Scenario A) or a new start date (Scenario B)
  • If you use ACH, plan the transition for mid-month
  • Pause onboarding of additional buildings until the migration is complete
  • Have your QuickBooks Desktop mapping available as a reference

Validating the Migration

  • QuickBooks Online is connected to the correct Entity
  • Accounts, Classes, and Locations match your Desktop mapping
  • Loans, Interest, and Hierarchy are mapped if applicable
  • Accounting Customers, Classifications, and Income Items are updated on every Lease
  • Invoices post to the correct accounts after the first sync

After the Migration

  • Scenario A: Removal ticket submitted with the Integration name and number for every Desktop file
  • Scenario B: Desktop file disconnected with historical data intact
  • Reporting reflects your new Online integration
  • Daily sync routine retired; data now syncs automatically
